Why small steps win

The most expensive AI projects are the ones nobody uses. In a trade business, the opposite approach pays off: start where time drains away every day – in the office, in documentation, in communication. Five examples that have proven their worth:

1. Quotations and office texts with AI assistance

Quotation texts, follow-up emails, defect notices: an AI assistant turns bullet points into polished drafts – the expertise stays with you, the writing workload shrinks. Important: never enter customer data into freely accessible free tools; use GDPR-compliant access.

2. Site documentation by photo and voice

Photos and short voice notes from the site are automatically turned into structured reports – measurement notes, site diaries, defect documentation. Hard-won know-how ends up in the system rather than in individual employees' heads.

3. Scheduling and dispatch

Who is going to which site, and when? Digital planning boards with intelligent suggestions reduce empty runs and queries – particularly effective when combined with digital time tracking.

4. Pre-sorting customer enquiries

An assistant on your website or in your email inbox answers standard questions (directions, services, appointment requests) and pre-sorts the rest. Your team no longer starts the day with thirty identical emails.

5. Preserving experiential knowledge

Is your master craftsman retiring in five years? With AI support, documentation, photos and short interviews become a searchable knowledge base for the next generation – one of the most underestimated digitalisation topics in the trades.

What you need to consider: GDPR and the AI Act

Since February 2025, the EU AI Act has required sufficient AI literacy among all staff who use AI systems (Art. 4). This does not mean a certificate course, but rather: instruction, clear rules, named responsible persons. Together with data protection, this belongs in every AI rollout – right from the start.
